Weekly Submit Workflow

At the end of each week, team members review their time entries in the weekly grid and submit them for approval. The submit action locks entries for that week — no further edits are possible until a manager returns them. A confirmation modal shows the total hours and a breakdown by project before submission, giving the team member a final check before committing their timesheet.

Status Tracking

Each weekly timesheet has a status: Draft (still being filled), Submitted (awaiting manager review), Approved (locked and ready for billing), or Rejected (returned with feedback). Status badges are visible in the timesheet UI so team members always know where their submission stands. The status flows through a clear lifecycle with no ambiguity about the current state.

Entry Locking

Submitted and approved time entries are locked and cannot be edited by the team member. This prevents accidental or intentional changes to time data that has already been reviewed or billed. If a correction is needed after submission, the manager must reject the timesheet with a reason, which returns it to Draft status and unlocks the entries for editing.

Rejection with Reason

When a manager rejects a timesheet, they must provide a reason — missing entries, incorrect project allocation, excessive hours on a task, or any other concern. The rejection reason appears as a banner on the team member's timesheet so they know exactly what needs to be corrected. This structured feedback loop replaces back-and-forth messages about timesheet issues.
